ProcessPro ("we", "us", or "our") is committed to protecting the privacy and security of your personal information. This privacy policy outlines our practices regarding the collection, use, and protection of personal data when you use our services. It applies to all personal data provided to us directly or uploaded by administrators to the ProcessPro Privacy app.

Data Collection

We collect the following personal data:

  • First name, last name, and email of administrators

  • Number of times reports are run (no private data is associated with this metric)

Data is uploaded by administrators at ProcessPro and entered by the school as needed for the operation of our services.

Data Storage and Security

Your data is stored for as long as you remain a client of ProcessPro. You may export your data to a spreadsheet at any time. Data is deleted within 30 days after an institution ceases to be a client, including removal from backups. We host data on Azure servers located in Canada and the US, ensuring data redundancy and security. Secure Single Sign-On (SSO) authentication is encouraged, although separate IDs can be created if necessary.

You have the right to:

  • Access your data

  • Rectify incorrect data

  • Cease dissemination of your data (the right to be forgotten)

  • Data portability

These rights can be exercised through requests made to your client representative or via our website.

Data Usage

We use your data to facilitate due diligence on third-party software that connects with students, employees, parents, alumni, and volunteers within educational institutions. This includes tracking software usage across different grades and generating generic reports. We do not use your data for secondary purposes without obtaining explicit consent from our clients.

Data Sharing and Disclosure

Access to your data is strictly limited to site administrators and app administrators. Data may be shared or disclosed only with the consent of the client or through legal requirements.

Employee Training and Compliance

Our employees receive ongoing training on privacy and data protection to ensure your information is handled responsibly and in accordance with applicable laws.

Changes to This Privacy Policy

We may update our privacy policy periodically. All clients will be notified of any significant changes via email.

Impact Assessments: We provide a master bank of privacy impact assessments for client use. Clients may approve and modify these assessments to suit their needs.  Approval of each PIA is to be done at the sole discretion of the client.
